The City of Paramount is currently accepting applications for an Office Assistant I in the Community Services Department.
Under direction, the Office Assistant I will perform general clerical and/or secretarial tasks for the Community Center.
The Office Assistant I will greet and assist staff and visitors; provide customer service on various matters related to the Community Center; prepare a variety of standard and department-specific documents, typically from drafts or templates; handle cash and process payments for City services; and perform other related duties as assigned.
Examples of Duties Under general supervision, the Community Services Office Assistant I duties will:
Provide administrative support for the Community Center.
Learn about the operation of the Community Center and other customer related activities.
Answer telephone calls and provide information on departmental procedures, as needed.
Maintain departmental records and documentation; completes, types, copies, and files standardized documents; such as correspondence, reports, logs, charts and tables.
Gather and assemble information; proofread documents for correct grammar, spelling, punctuation and format.
Assist with the preparation of documents; processes, and/or checks a variety of documents and records.
Assist with preparing mailings, purchasing office supplies, assist on special projects, events, and activities.
Create and maintain electronic files.
Perform other duties as assigned Minimum Qualifications Education and
Experience:
High school graduation or equivalent required.
At least 1 year clerical and customer service experience required.
Desirables:
ActiveNet knowledge desired.
Facility rental knowledge desired.
Bilingual (English/Spanish) speaker also highly desired.
Knowledge of:
Office methods, document filing methods, office equipment operations, including computer use and Microsoft Office software.
Skill in:
Correct English usage, including spelling, grammar and punctuation.
Ability to:
Communicate department policies and procedures; perform moderately complex office work; organize, prioritize and coordinate work activities; maintain and research office files; compose correspondence from brief instructions; apply judgment effectively and maintain cooperative working relationships.
License/Certification Required:
Valid Class C California Driver License and acceptable driving record.
Supplemental Information Essential duties require the following physical skills and work environment:
PHYSICAL DEMANDS Work is primarily performed in a standard office setting and requires:
the use of standard office equipment, including a computer; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone; the ability to perform work that is primarily sedentary, although standing in and walking between work areas may be required; finger dexterity to access, enter and retrieve data using a computer keyboard or calculator and to operate standard office equipment; occasional bending, stooping, kneeling, reaching, pushing and pulling drawers open and closed to retrieve and file information; lifting, carrying, pushing and pulling materials and objects weighing up to 25 pounds.
ENVIRONMENTAL ELEMENTS Work is primarily performed in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances; may require interacting with upset staff and/or public and private representatives and contractors in interpreting and enforcing departmental and City policies and procedures.
